PRIVATE WEDDING/BAPTISM VIDEOGRAPHY AGREEMENT
Dear customers, we are happy that you preferred our studio for your video shoot of your
wedding/event.

Terms and conditions
1. SERVICES AND DELIVERY OF MATERIALS
• The video will be ready for delivery within 6 months of the wedding/baptism/next day shooting.
• The final video will be in digital format (HD or 4K) and released with copy capability.
• The next day video (next day shooting) can take place no later than 15 days after the event.
• Clients are responsible for backing up video files from the USB or digital download to an external hard drive and/or cloud platform.
• The videographer is not liable for any file loss after 30 days from delivery.
• Clients must not interfere with the artistic direction of the videography or demand a style different from the videographer's vision.
• The videographer is not obligated to store video files for more than 1 year after the delivery date.
2. PAYMENT TERMS
• A 25% deposit is required upon signing this agreement to secure the date.
• The remaining 75% is due no later than 10 days after the event date to begin the editing process.
• If a date change is requested, the studio may, but is not obligated to, provide services on the new date if available.
• The deposit is non-refundable.
• Any travel or accommodation costs for events over 40 km from the videographer's base are the responsibility of the client.
• If the wedding is canceled, the deposit is non-refundable, and the client must inform the studio by email to release the date.
2.1 PAYMENT TERMS AND LATE FEE POLICY
The remaining 75% of the total balance is due no later than 10 days after the event date to begin the editing process.
Failure to make the payment on time will result in the following fees:
A yearly 10% late fee on the outstanding balance will be applied for holding any
Raw footage and keeping the editing project open for prolonged periods (1 year or more).
These fees will be applied annually until the full balance is paid and the project is completed.
3. INTELLECTUAL PROPERTY RIGHTS
• The studio retains full ownership and intellectual property rights of the video for any personal use, including advertising.
• For baptism videos, no footage will be used for public promotion without the client's prior written approval.
3.1 RAW FOOTAGE AND COPYRIGHT PURCHASE
If the client chooses to purchase the raw footage along with the associated copyrights,
the client will then own the exclusive rights to the footage.
In such cases, our studio will no longer retain the right to use the footage for any promotional, advertising, or commercial purposes.
By purchasing the raw footage and copyrights, the client takes full ownership and control over the usage of the material.
4. FAILURE TO FULFILL OBLIGATIONS
• In the event of unforeseen circumstances (force majeure), such as illness, technical issues, or extreme weather conditions,
the studio may assign another videographer or refund any payments made up to that point.
• If no replacement can be found, liability is limited to reimbursement of any payments received.
5. RESPONSIBILITIES & GOOD COOPERATION
• Clients will not hold the videographer liable for any injury or incident during the wedding/baptism or related shoots.
• Both parties agree to cooperate for the best possible outcome and commit to clear communication throughout the project.
• Clients acknowledge that the videographer is not responsible for interference from guests or other photographers that may affect footage quality.
6. ADDITIONAL COSTS
• Overtime charges apply if the event runs longer than the agreed-upon time.
• The overtime fee is €250/hour, to be paid along with the remaining balance.
7. DATA STORAGE AND BACKUP POLICY
• Our studio takes great care to safeguard your wedding video by maintaining double backups on a 100TB NAS storage system,
along with a subscription-based cloud storage solution.
• While we make every effort to securely store your files, we are not obligated to retain them indefinitely.
If you happen to lose your wedding film in the future, you may request a copy.
• However, this will only be possible if the files are still available in our archives at the time of the request.
• Please note that accessing archived files will incur a fee of €60 per year of storage.
8. REFUND POLICY IN CASE OF UNFORESEEN CIRCUMSTANCES
In the unlikely event of the videographer's death or permanent incapacitation,
and if the services cannot be provided as agreed upon, the studio will arrange for the refund of any deposit or payments made.
The refund will be issued through the videographer's estate or legal representative in accordance with applicable laws and processes.
The refund of the deposit will be handled as promptly as possible, but the timeframe may depend on the legal process involved.
And remember, if I do happen to kick the bucket,
I promise to haunt only the editing room , so your footage is in good hands, even from the afterlife! 😉
